How to Choose the Right Accounting System for Your Business — and When You Need a Full-Time Accountant
Every financial decision in your business relies on a number. If the number is inaccurate, so is the decision. An accounting system is not just software for issuing invoices; it is the source on which financial statements, zakat and tax returns, and financing files are built. Choosing it is a decision worth thinking through.
Why manual spreadsheets are no longer enough
- It is hard to produce reliable financial statements on time.
- Posting and reconciliation errors keep recurring.
- They do not comply with e-invoicing requirements.
- The file is weaker when applying for financing, because the figures cannot be traced.
E-invoicing requirements in Saudi Arabia
The Zakat, Tax and Customs Authority (ZATCA) applies e-invoicing (FATOORA) in two phases:
- Phase one (generation): In force since 4 December 2021, requiring taxpayers to issue and store tax invoices and notes through compliant electronic solutions.
- Phase two (integration): Applied since 1 January 2023 in waves according to taxpayer groups, with additional technical requirements and integration of electronic solutions with the Authority’s systems. The Authority notifies taxpayers of their wave at least six months in advance.
Phase two is expanding gradually to cover smaller businesses. For example, the Authority announced that the twenty-fourth wave covers taxpayers whose taxable revenue exceeded SAR 375,000 in 2022, 2023 or 2024, with an integration deadline with the FATOORA platform of 30 June 2026.
So the first question when choosing a system is: Does it comply with the Authority’s requirements for both phases? Review the detailed e-invoicing guide published on the Authority’s website before contracting with any provider.
Criteria for choosing an accounting system
1. Regulatory compliance
- Compliant with both phases of e-invoicing.
- Supports VAT calculation and return preparation.
- Allows records to be kept and retrieved.
2. Fit with the nature of the activity
- A trading business needs inventory management.
- A service business needs project and cost-centre tracking.
- A manufacturing business needs production costing.
3. Scalability
The system that suits you today should be able to handle additional branches, more users and a larger volume of transactions in two or three years.
4. Integration
With banks, points of sale, the online store and payroll systems. Every integration saves manual entry and reduces errors.
5. Total cost
Don’t look only at the subscription price; add the cost of setup, training, support and upgrades.
Steps to set up the system correctly
- Design the chart of accounts to suit your activity and reporting needs.
- Define cost centres if you have multiple branches or activities.
- Enter opening balances after reconciling them.
- Document the document cycle: who creates, who approves and who reviews.
- Training on daily use and period closing.
When do you need a full-time accountant?
There is no single rule, but these are practical indicators:
- When daily transactions exceed the owner’s ability to keep track of them.
- When there is significant inventory or multiple branches.
- When you need monthly statements for decision-making or for a financier.
- When returns or reconciliations are repeatedly late.
Before that, a part-time accountant or an outsourced accounting service may be enough. Either way, an accountant needs a well-configured system to work efficiently.
Accounting standards
Financial statements in the Kingdom are prepared under the standards endorsed by the Saudi Organization for Chartered and Professional Accountants (SOCPA), including a standard specifically for small and medium-sized entities. A well-configured system makes it easier to prepare compliant statements and saves the audit firm’s time and cost.
